Overview

WBA is seeking a detail-oriented and highly organized Legal Runner & Administrative Clerk. This Utah-based role provides critical support to attorneys and paralegals serving both Utah and Colorado clients. The role combines remote document management work with in-person field responsibilities.

In the remote capacity, this role assists Legal Assistants and other staff in saving and organizing digital files, including maintaining proper version control, naming conventions, and structured digital filing across all matters, including maintaining proper version control and naming conventions.

In the field capacity, this role serves as the firm’s on-the-ground Legal Assistant presence in Utah, handling document delivery and court filing, signature collection, and in-person support at public meeting locations. The field duties will require driving to locations in Utah and Salt Lake County metro areas, with occasional need for travel to surrounding communities such as Wasatch, Morgan, Weber, or Summit Counties.

The ideal candidate is highly organized, responsive, and efficient with routine tasks, comfortable working independently in the field, and able to communicate clearly with the public and agency staff.

Key Responsibilities

  • Document Management (Remote/Work from Home)
    • File, organize, and save electronic documents within the firm’s document management
      system (Epona, SharePoint).
    • Consistently apply and maintain standard naming conventions, versioning rules, and
      filing procedures.
  • Field Administration (Remote/Work from Home)
    • Coordinate with the supervising attorney or paralegal to prepare for Runner and Meeting Support duties.
    • Track and submit expense reports for all reimbursable field expenses, including mileage, court filing fees, recording fees, and other client-billable costs, in accordance with firm billing procedures and deadlines.
  • Runner / Courier (Field – Utah/Salt Lake Counties and surrounding communities)
    • Drive throughout the territory to deliver documents, obtain required signatures, and file documents with the appropriate government agency or recording office.
    • Understand and be able to provide a basic overview of the documents requiring signature so parties can be appropriately informed before signing.
    • Learn and follow the in-person filing and recording processes for each relevant jurisdiction, including required forms, fees, and procedures.
    • Confirm filing and recording requirements in advance and communicate any changes or issues to the supervising attorney or paralegal promptly.
  • Meeting Support (Field – Utah/Salt Lake Counties and surrounding communities)
    • Post physical public meeting notices at required locations within the jurisdiction in advance of meetings, in accordance with applicable notice requirements and attorney instructions.
    • Provide an in-person presence at designated anchor meeting locations for virtual public meetings, including special district board meetings and other client-related proceedings.
    • Arrive at the on-site location prior to the meeting start time, log into the Zoom (or equivalent virtual meeting platform), and ensure the in-person setup is ready.
    • Greet and assist any members of the public who arrive at the on-site location to attend the virtual meeting.
    • In-person meeting locations vary and may include being at undeveloped or pre-construction sites with no other people present.

Skills and Qualifications

Required

  • High school diploma or equivalent.
  • Valid Utah Driver’s License in good standing.
  • Must have reliable personal transportation.
  • Willingness and ability to drive throughout the assigned territory regularly as part of job duties.
  • Ability to work independently at off-site field locations, which may include undeveloped or pre-construction sites, without any other people present.
  • Excellent organizational skills, attention to detail, and the demonstrated ability to work effectively in a high‑volume, deadline‑driven environment.
  • Ability to learn and follow structured procedures and naming conventions consistently.
  • Strong organizational skills and ability to handle a high volume of documents.
  • Proficiency with Microsoft 365 and Adobe Acrobat Pro.
  • Professional communication skills and comfort interacting with the public, agency staff, and government officials.

Preferred

  • Prior experience in a law firm, professional office, or records management role.
  • Experience with electronic document management systems (Epona, SharePoint).
  • Familiarity with Utah government agencies, county recorder offices, or local government processes.Work Schedule & Location

Work Schedule & Location

  • Status: Full-time, non-exempt
  • Schedule: Monday-Friday, 8:00am to 5:00pm with a 1-hour lunch break. Occasional need for evening/weekend field work.
  • Remote (work from home), with regular field assignments throughout Utah and Salt Lake County metro areas with occasional need for travel to surrounding communities.

Compensation & Benefits

  • Salary: $23.00 to $25.00/hour, depending on skills, qualifications, and experience.
  • Bonus: Discretionary bonus opportunities
  • Mileage Reimbursement: IRS standard mileage rate for all approved field travel, including document filing runs and in-person meeting support.
